How to Set Up Carrier Appointments in Quote & Apply

Before submitting an application through Quote & Apply, you may need to set up your carrier appointment details.

Carrier appointments are used to store the information needed for a specific carrier, including your writing code, which can then be used to pre-fill the agent code field on the application form.

You can set up carrier appointments in two ways:

  1. Directly from Advisor Profile

  2. During the application flow when prompted

The setup is essentially the same in both cases. The main difference is where you begin.

Why this matters

Setting up carrier appointments ahead of time can make the application process smoother and help avoid interruptions during submission.

It also allows Waterlily to use your saved appointment details to prefill certain fields in the application, such as your agent code.

Note: The exact label on the application may vary by carrier. For example, it may appear as Agent Producer Code, Agent Code, or similar wording.


Option 1: Set Up Carrier Appointments from Advisor Profile

You can add carrier appointments ahead of time from your Advisor Profile. This is the best option if you already know which carriers you commonly work with.

Step 1: Open Advisor Profile

From the left-side menu, click Advisor Profile.

Step 2: Open the Carrier & BGA tab

At the top of the Advisor Profile Settings page, click the Carrier & BGA tab.

Step 3: Go to Carrier Appointments

In the Carrier Appointments section, click + Add carrier appointment. Both add buttons work, so you can use either one.

Step 4: Enter the appointment details

Fill in the required information:

  • Company Name

  • Email

  • Carrier

Once you select a carrier, you will also be asked to enter a Writing Code.

Step 5: Enter the writing code (Optional)

After selecting the carrier, enter the correct Writing Code.

This value is used to pre-fill the agent code field on the application form during Quote & Apply.

Note: On the application, this field name may vary by carrier. For example, it may appear as Agent Producer Code.

Step 6: Click Save

Once all required details are complete, click Save.

Your carrier appointment will now be available for future applications with that carrier.

Step 7: Repeat for each carrier

Carrier appointments are set up per carrier, so you will need to add a separate appointment for each carrier you plan to submit business with.

For example, if you work with Nationwide, OneAmerica, and Securian, each one needs its own saved carrier appointment.

Tip: If you submit applications across multiple carriers, it is best to set up each one ahead of time so your information is ready when you begin Quote & Apply.


Option 2: Set Up Carrier Appointments While Applying

If you have not added a carrier appointment ahead of time, Waterlily will prompt you to set it up during the application flow when it becomes required.

The setup itself is the same as adding it from Advisor Profile. The only difference is how you get there.

Important: If you already set up the carrier appointment ahead of time, you will not be asked to set it up again.

When you may be prompted

In most cases, if a carrier appointment has not been configured yet, you will be asked to set it up on the last step, when you are about to send the application.

For some carriers, you may be asked to complete it earlier in the flow. For example, some carriers such as Nationwide may require the carrier appointment to be configured during the step where you send a pre-underwriting form.

Note: Not all carriers include a pre-underwriting step, so the point at which you are asked to set up the appointment may vary by carrier.

Step 1: Continue until you reach the required setup step

Go through Quote & Apply as usual until you reach the step where the missing carrier appointment is required.

If no appointment has been saved yet for that carrier, Waterlily will show a prompt letting you know that setup is needed before you can continue.

Step 2: Click Configure

Click the Configure BGA button shown in the application flow.

Waterlily will automatically bring you to Carrier Appointments so you can add the missing appointment.

Step 3: Add the carrier appointment

Once you are in the Carrier Appointments section, fill in the required information:

  • Company Name

  • Email

  • Carrier

After selecting the carrier, you will also need to enter the Writing Code.

Step 4: Save the appointment

Click Save to finish setting up the carrier appointment. Once saved, it will remain available for future applications with that same carrier.

Step 5: Return to the application and click Refresh

After saving the appointment, return to the application flow and click Refresh so Waterlily can detect the newly added configuration.

Once refreshed, the configured BGA/IMO or carrier appointment will appear in the submission section.

Step 6: Submit the application

After the configuration appears, click Submit Application to continue.


How the writing code is used

When you save a carrier appointment, the writing code attached to that carrier can be used to prefill the agent code field in the application.

Depending on the carrier, that field may appear under different names, such as:

  • Agent Producer Code

  • Agent Code

  • or similar wording

This helps reduce manual entry and keeps your application process more efficient.


Important things to know

Carrier appointments are saved per carrier

Each carrier needs its own saved appointment. If you apply with a new carrier that does not yet have a saved appointment, Waterlily will ask you to set it up when needed.

Setting it up ahead of time prevents future prompts

If the carrier appointment is already saved before you start applying, Waterlily will use that saved information and you will not be asked to configure it again.

The timing can vary by carrier

Most carriers will ask for this at the final submission step, but some may require it earlier, such as during a pre-underwriting step.

The application wording may vary

Depending on the carrier, labels in the application may differ slightly. For example, the field that uses the writing code may appear as Agent Producer Code instead of Agent Code.


Best practices

  • Set up carrier appointments ahead of time for the carriers you use most often. This makes Quote & Apply faster and helps avoid interruptions during submission.

  • If you submit through multiple carriers, make sure each one has its own saved carrier appointment and writing code.

  • If you add a carrier appointment during the application flow, remember to return to the application and click Refresh before submitting.


Troubleshooting

I already set up the appointment, but I still do not see it

Return to the application and click Refresh so Waterlily can detect the newly added configuration.

I am not being asked to set it up

If the appointment has already been saved for that carrier, Waterlily will use the existing configuration and will not ask you to set it up again.

I was asked earlier than the final submission step

Some carriers may require appointment setup earlier in the flow, such as during a pre-underwriting form step.

I work with more than one carrier

You will need to add a separate carrier appointment for each carrier.
