Before you start

The products shown in the shop vary by client because Waterlily uses the client’s intake form demographics and answers to determine what appears.

If you want to compare joint policies, you’ll need to link two clients as partners first.

Once linked, eligible joint products can appear and will show on both clients’ financing tables.

For products with a couples discount or 2 Buyers design, you do not need to link two partnered clients first. As long as the client indicates in their intake that they are married or partnered, those products can still appear in the shop, provided they meet the product’s eligibility requirements such as age, state, and other underwriting criteria.


Step 1: Open the Insurance Shop

You can open the shop in either of these ways:

Option A: From the client list

  1. Go to your Clients list.

  2. Find the client.

  3. Click Explore Quotes.

Option B: From the client’s results → Finance plan

  1. Click on the client and go to their Results. Press on "Finance" Costs to jump to the Finance Plan page.

  2. Under Funding options, click Add Insurance.

  3. Select Explore Coverage Options.


Step 2: Narrow down products using filters

Once the shop is open, choose how you want to search for products. There are two ways to filter the shop: By Benefit and By Premium.

By Benefit

This is the primary way to browse products when you already have a target coverage design in mind.

Use By Benefit when you want to search based on the type of benefit the client needs, such as:

  • monthly benefit

  • benefit duration

  • inflation protection

  • inflation type

This view is especially helpful when you want to answer questions like:

  • What products can provide around $5,000 per month?

  • Which options offer lifetime coverage?

  • What products match a 3% or 5% inflation design?

When using By Benefit, Waterlily shows products that match the benefit structure you entered, then displays the available payment designs for those matching products. From there, you can review the available options, expand a product card to see more details, and generate a quote directly from that product.

Common filters in By Benefit include:

  • Monthly Benefit – the target monthly LTC benefit you want to see

  • Benefit Duration – how long the policy can pay benefits

  • Inflation Protection – the inflation percentage you want

  • Inflation Type – the type of inflation structure, depending on product availability

By Premium

Use By Premium when you want to shop based on how much the client is willing to spend.

This view is helpful when you are starting with a budget and want to see which products fit within that amount. Instead of first targeting a monthly benefit, you begin with a premium target and then review what level of coverage different products can provide.

This is useful for questions like:

  • What coverage can my client get for $100,000 single pay?

  • Which options fit within this client’s planned premium budget?

  • How does the projected coverage change if I adjust the premium target?

Common filters in By Premium include:

  • Target Premium – the amount the client wants to spend

  • Payment Option – such as Single Pay, 10 Pay, Monthly, or Annual, depending on availability

  • Inflation Protection

  • Benefit Duration

  • other eligibility-based filters, depending on the client and product availability

Which one should you use?

Both views search the same product marketplace, but they help you start from a different planning goal:

  • Use By Benefit when your main goal is to match a coverage design

  • Use By Premium when your main goal is to match a budget

For most planning conversations, By Benefit is the better starting point because it helps you model the type of care coverage the client wants first, then compare the available premium options for that design.

As you apply filters

As you add more filters, you will usually see fewer products. This is expected.

You may also see filter chips at the top of the results list, which let you quickly review or remove active filters without resetting everything.


Step 3: Understand what you’re seeing on each product

Each product card typically shows:

  • carrier and product name

  • projected coverage

  • cost, based on your selected payment option

  • an AI underwriting tag such as Likely Eligible, Review Needed, or Likely Ineligible

  • buttons to Select Product or Create Quote

  • a collapsible Product Details section, with details that may vary by product type

In By Benefit view, some products may also show multiple available payment designs within the same card. You can review those options, choose the one you want, expand the card for more detail, or generate a quote directly from that selection.


Step 4: Use Waterlily’s AI Underwriting Analysis tags

Waterlily tags each product using three categories:

  • Likely Eligible

  • Review Needed

  • Likely Ineligible

These tags are designed to help you quickly assess which products may be a stronger fit for your client based on the information currently available. You can click on the eligibility tag(Likely Eligible/Likely Ineligible/Review Needed) to show the AI Underwriting Analysis which can also provide any flagged analysis that corresponds to the client's intake form answer.

Important: These tags are informational and are not a guarantee of the final underwriting decision.


Step 5: Create a quote document

When you click Create Quote, Waterlily generates a carrier quote packet that you can download. This document outlines the product’s illustrated values, premium structure, and key policy details.

To generate a quote:

  1. Find the product you want to quote.

  2. Click Create Quote on the product card.

  3. Download the generated quote packet to review or save for your records.

Note: If the quote fails to generate, the carrier’s servers may be temporarily unavailable. You can try again immediately, or later. Our team will also be notified and will try again later on your behalf if it continues to fail.


Step 6: Add a product to the financing table

When you are ready to include a product in the client’s plan:

  1. Find the product you want to include.

  2. Click Select Product.

Waterlily will automatically add that product to the client’s long-term care financing table, where you can compare it against other funding options.

Note: You can add as many policies from the shop as you want to compare options side-by-side.


Tips and best practices

  • Start broad, then narrow. Use fewer filters first to understand what’s available, then tighten constraints as needed.

  • Use Likely Eligible as a shortlist. It’s a fast way to focus attention, especially with large result sets.

  • Check “Review Needed” intentionally. These can still be viable—it just means something in the intake answers may require closer review.

  • Compare payment options before deciding. Switching between Single Pay vs. Monthly/Annual can change what products appear and the cost/coverage tradeoffs.

  • Link partners early if you plan to show joint policy options—otherwise joint products won’t display.

  • Treat AI insights as guidance. The carrier’s underwriters make the final call.

Apply: Start and Manage Insurance Applications

How applying works

  • Each time you add an insurance product from the shop, Waterlily creates a corresponding application entry on Insurance Application Review (the slide right after the financing plan).

  • Applications can only be submitted for the client’s state of residence (pulled from the intake form ZIP code), since each carrier provides state-specific application forms and requirements.


Before you apply: Set up your carrier appointment (recommended)

If you work with a BGA/IMO (or have a direct carrier appointment), set this up so Waterlily knows where to send the completed application.

  1. Navigate to you Advisor Profile

  2. Go to Carrier Appointments.

  3. Click Add carrier appointment.

  4. Enter:

    • Company Name

    • Email

    • (If available) Writing Code

  5. Click Save.

Note: If you skip this, you’ll be prompted to set it up before submission.


Ways to start an application

There are several ways to begin an application, depending on where you are in the planning flow.

Option 1: From the Financing Plan
After adding coverage options to the financing plan, click Next to move forward.

You’ll then be able to choose which policy you want to apply for.

Option 2: From the Financing table
If the policy has already been added to the financing table, you can start right away by clicking Start Application directly on that policy.

Option 3: From the Insurance Shop
You can also begin from the Insurance Shop. Once you find the policy you want to move forward with, click Start Application on the product card.


Step 1: Download the policy illustration

Most carriers start the application flow by asking you to generate and review a policy illustration. This document contains the most detailed premium and coverage information available at this stage.

What to do

  1. In Step 1: Download Policy Illustration, click Download PDF (or View Illustration if it has already been generated).

  2. Review the illustration details. You will need to check the box that says “I understand this is an updated estimate and the final price depends on underwriting.” to proceed to the next step.

If the illustration fails to generate
Sometimes the illustration can’t be created because the carrier’s external systems are temporarily down. If that happens, you may see options like:

  • Retry Illustration

  • Continue Without Illustration

  • Contact Support

Carrier-specific behavior (important)

  • Some carriers let you proceed by clicking Continue Without Illustration, and you can return to this step later.

  • Other carriers (example: CareScout) may keep you locked on Step 1 until the illustration is successfully generated.

  • In some cases, if the illustration fails, Waterlily may temporarily move you ahead to Step 3: Complete Application Form, then bring you back to Step 1 afterward to finish generating the illustration.


Step 2: Provide Pre-Application Consents

Before you can continue to the application form, your client needs to provide electronic consent to receive application documents.

Who needs to give consent

  • Single policy: The primary client must provide consent.

  • Joint policy: Both partners must provide consent.

Send the consent link to your client

On Step 2, you’ll see a consent table with each person’s status.

  1. Find your client (and partner, if applicable).

  2. Click Send Link for each person with a Pending status.

This triggers an automated email to your client(s) asking them to give consent.

Note: Waterlily does not send this email automatically—you must click Send Link to trigger it.


What your client needs to do

  1. Your client clicks Give consent from the email.

  2. They’ll be prompted to sign in to their Waterlily account.

  3. After signing in, they’ll be taken directly to the consent step to review and agree.

Important: Clients can access the application flow through their access link, but only the advisor can submit the application.


After consent is provided: illustration delivery

Once consent is completed:

  • The client will receive an email copy of the illustration / packet.

  • For joint policies, both partners receive their own copy.

If your client does not receive the email, they can use Download Take Home Packet to Continue to download the packet manually.

Important: If the illustration packet is not received (via email or manual download), you won’t be able to continue to the application form—unless Step 1 was skipped due to an illustration failure (which can also skip Step 2).

Joint policy note: If neither partner receives the email, both partners must download the packet manually so you can proceed.


Joint policy access (who can see the application steps)

For joint policies:

  • Only the client whose profile you used to start the application will be able to view the application steps.

    • Example: If you start the application from John Doe’s results, John Doe can see the application steps, but Jane Doe will not.

  • Even if the partner can’t see the step-by-step flow, they will still be asked to provide consent.


Confirm consent status and continue

Back on your advisor view:

  1. Click Refresh to pull the latest consent status.

  2. Once all required consents show as Provided, the Continue to Next Step button becomes clickable.


Step 3: Complete the application form

In this step, you’ll fill out the carrier’s application form inside Waterlily. Depending on the product, this may include multiple sections (ownership, payment, medical questions, replacement, acknowledgements, and more).

1) Start the application

  1. Click Start Application.

  2. Choose how you want to complete the form:

    • Yes, Prefill my application using AI – Waterlily uses your client’s intake form responses to prefill as much as possible.

    • No, I’ll fill it out manually – Starts with a blank application.

Tip: Encourage clients to be detailed when completing the intake form. The more complete their answers are, the more the AI can prefill accurately.


2) Move through sections (and skip when needed)

  • You can move forward even if you’re not ready to finish a section.

  • If you skip required fields, Waterlily will warn you and you can choose to continue anyway.

  • Skipped or incomplete sections are marked with an orange exclamation icon so you can easily come back later.


3) Save your progress (manual vs auto-save)

  • You can leave anytime by clicking Save & Close.

  • Waterlily also auto-saves when you complete a full section/page.

    • Example: If you only fill out half of a section and navigate away, it may not auto-save—use Save & Close (found at the bottom left) to make sure your progress is saved.

As you complete sections, you’ll see a checkmark in the left navigation to confirm progress.


4) Review the application (required fields must be complete)

You won’t be able to submit until all required fields are completed. Once everything required is filled in, Review Application becomes clickable.


5) Use Application Review (NIGO + AI checks)

Waterlily includes an Application Review step (built-in Not-In-Good-Order (NIGO) + AI-assisted checks) to help identify potential issues before submission.

The review includes important reminders:

  • AI can make mistakes — you should verify accuracy.

  • This is not a coverage guarantee — checks help flag issues but don’t determine final approval.

  • These are observations, not advice — insights are informational and not insurance/financial/medical/legal advice.

What you can do on the Application Review page

  • Review items under Errors that need attention and Non-blocking warnings & suggestions.

  • Click Edit Answer(s) to update directly from the review page, or use Jump to question to go to the exact field in the form.

    • Once you’re on the specific question and want to return, click the Application Review button (top right).

  • After making updates, click Re-check Answers to run the checks again.

  • As you make changes, you can track your progress in the Resolved Items section to confirm which items have been fixed.

  • Alternatively, if you are confident with how the application was filled out and have reviewed all items, you can click Proceed without review.

  • Once all issues are resolved, the Re-check Answers button will change to Review complete – Submit, and Proceed without review will be hidden.

Note: The Application Review button (top right) only appears once the application is sufficiently complete. If you still have incomplete sections, you won’t see it yet.


Step 4: Collect required signatures

Once you’ve completed (and reviewed) the application form, the next step is to send the application for signatures.

  1. Send the application for signature

    • Click Send for Signature.

    • Waterlily will send a DocuSign email to every required signer on the application.

  2. Track signing progress

    • This step is case-by-case. The number of signers depends on the carrier and how the application is set up (some applications require more signatories, others require fewer).

    • You can track who has signed versus who still needs to sign directly in the Signing Progress list.

    • If statuses haven’t updated yet, click Refresh Status.

  3. Complete signatures in DocuSign

    • Each signer will be assigned their own required signature fields in DocuSign.

    • Remind signers to review the document carefully before signing. The DocuSign link shows the actual application form.

Important: You can only proceed to Step 5 once all required signatories have signed. Once everyone has signed, you’ll be moved to Step 5 automatically.


Step 5: Provide required consents (final consent)

This is the final consent step before submission.

  • The advisor provides consent first.

  • After the advisor completes their consent, the primary client (and partner client if joint) will be prompted to consent as well.

  • An automatic email is sent to the client(s). The advisor does not need to click anything to trigger these emails.

How it works for clients:

  1. Clients click Give consent from the email.

  2. If they’re not logged in, they’ll be asked to sign in.

  3. They complete the consent checklist on the consent page.

Notifications and submission:

  • The advisor receives an email when a client provides final consent.

  • For single-client applications, the advisor email includes a Submit Application button.

  • For joint policies, the Submit Application button appears only after the last required client submits final consent (the email for the final signer contains the submit button).


Step 6: Send the application form

This is the final step—submitting the completed application for processing. You’ll choose one of two submission methods:

  • Submit to Carrier (Direct Processing): Send the application directly to the insurance carrier.

  • Submit to BGA/IMO (Agent Review): Send the application through your partnered BGA/IMO. They will review it first, then they can forward it to the appropriate carrier themselves.

    • You will be prompted to set up your BGA/IMO details only if you choose this option (and only if it hasn’t been configured yet).

After selecting your submission method, click Submit Application to send it.
