The Team Page helps you collaborate with other advisors while keeping access permission-based. You can invite advisors to your organization, accept invitations from other organizations, and manage whether another advisor can view and edit your clients.
Team Page Views (Owner, Member, Invitations)
Use the View dropdown on the Team Page to switch between three views:
Owner view
Use Owner to see the advisors you have access to (because they accepted your invite and granted consent).
This view is where you typically:
Invite an advisor
Track invite statuses (Sent vs Active)
Manage access and remove advisors (Delete)
Member view
Use Member to see the organizations (owners) that have access to your account and clients, based on the permissions you’ve granted.
This view is where you typically:
Review who has access to you
Leave a team (Leave Team)
Invitations view
Use Invitations to review invitations from other advisors who want you to join their organization and (optionally) access your clients.
This view is where you typically:
Accept or decline invites
Review whether client access is requested
How to Invite an Advisor
Go to Team.
In the top-right, click Invite Advisor.
Enter the advisor’s email address.
Choose whether you need access to their clients:
Yes, I need to view and edit their clients
No, I don’t need client access
Click Continue.
Review the invitation details, then click Send Invite.
What happens next?
After sending, the advisor will appear in your list with a Sent status.
Once they accept, their status updates to Active.
Invite Types: New Advisor vs Existing Advisor
You can invite:
A new advisor (they don’t have a Waterlily account yet)
An existing advisor (they already have a Waterlily account)
The invitation flow is similar for both—what changes is whether they’ll be prompted to create an account before they can accept.
What the Invited Advisor Consents To
When an advisor accepts your invite, they are always asked to consent to sharing data with the organization owner. The consent wording depends on whether Client Access is enabled or disabled.
If Client Access is enabled
If you select Yes, I need to view and edit their clients, the invited advisor consents to sharing:
Their subscription details
Their usage statistics
Permission for the organization owner to view and edit their clients and client information
If Client Access is disabled
If you select No, I don’t need client access, the consent request is more limited. The invited advisor consents to sharing only:
Their subscription details
Their usage statistics
In this scenario, Client Access shows as “Disabled,” and the organization owner will not be able to access the advisor’s clients.
Important: This is different from invites with client access enabled, where the invited advisor is asked to consent to sharing subscription/usage data and allowing the owner to view and edit their clients and client information.
Manage Your Team (Resend, Cancel, or Remove)
On the Team table, use the Actions (•••) menu to manage advisors.
Resend an invitation
If an advisor hasn’t responded yet (status is Sent):
Click Actions (•••) on their row.
Select Resend Invitation.
Cancel an invitation or remove an advisor
At any time, you can remove an advisor from your Team Page:
Click Actions (•••) on their row.
Select Delete.
Note: Deleting removes the advisor from your Team Page and revokes access.
How to Accept an Invite (Existing Advisor)
If you already have a Waterlily account:
Open the invitation email and click View Invitation.
If prompted, sign in to your Waterlily account.
Alternatively, go to Team → View: Invitations to see invites directly in Waterlily.
Review the invite details and choose Accept or Decline.
If you accept, you’ll be asked to provide consent based on the permission requested:
If Client Access is Enabled, you’re consenting to share subscription/usage data and allow the owner to view and edit your clients.
If Client Access is Disabled, you’re consenting to share subscription/usage data only (no client access).
To confirm you joined, go to Team → View: Member and check that the organization now appears in your list.
How to Accept an Invite (New Advisor)
If you don’t have a Waterlily account yet:
Open the invitation email and click Create Account (then proceed to the invitation).
Create your Waterlily account.
After account creation, you’ll be directed to the Team area where you can see your invitations.
Review the invite and select Accept or Decline.
If you accept, you’ll be asked to provide consent based on the permission requested:
If Client Access is Enabled, you’re consenting to share subscription/usage data and allow the owner to view and edit your clients.
If Client Access is Disabled, you’re consenting to share subscription/usage data only (no client access).
After accepting, note that you will need to create your own Waterlily subscription to gain full access to the platform and wait for Waterlily support to verify your account.
Once your account is verified, confirm you joined by going to Team → View: Member.
Tips and Best Practices
Decide on client access up front. Only select Yes when you truly need to view/edit another advisor’s clients.
Use statuses to track progress.
Sent = invitation delivered, waiting on the other advisor
Active = accepted, access is enabled
Resend instead of re-inviting. If someone missed the email, use Resend Invitation from the Actions menu.
Review Member view regularly. This is the fastest way to see who currently has access to your clients and to leave a team if needed.
Remember consent is required. An advisor won’t show as Active until they accept and provide consent.
Client Access impacts what’s shared. If client access is disabled, the organization owner can view subscription and usage details, but cannot access client data.
